Work Schedule
  • Business Hours: Monday-Friday (except federal holidays),6:30 am – 6:00 p.m.
  • Personnel will work five eight (8) hour shifts M-F, between the hours of 0630 – 1800
  • Personnel shall not exceed 40 working hours per week
Job Specific Duties
  • Receive approximately 20-30 visitors and answer telephone inquiries per day, determining the nature of the requests and directs calls and or persons to appropriate staff, or personally provide the information desired when routine or procedural matters of office are involved.
  • Utilizes judgment to answer recurring questions and resolves them within the framework of established policies and procedures.
  • Coordinate phone communication with external entities to facilitate the scheduling for the Command TRIAD and Senior Enlisted Leader, track all correspondence types, in and out of the directorate, and copy any administrative documents needed to facilitate leadership endeavors at the command.
  • Receive incoming mail and distribute; and attend and take minutes and type (in approved format) directorate level meetings.
  • Ensure equipment is functioning to support operations activities, facilities and safety (acts as POC for trouble calls and safety); ensure implementation of the directorate and departmental specific Standard Operating Procedures; maintain various directorate files/folders on shared drive/SharePoint online, Microsoft Teams, etc. (as specified); and input data into and maintain various databases.
  • Identifies and selects appropriate software types, e.g. access, excel spreadsheet, word processing, databases, outlook, etc. to meet office needs based on an understanding of the functional capabilities and limitations of each, and the similarities, differences and integration of software types.
  • Develops methods for automating various administrative reports containing data having multiple uses for other reports such as personnel, office correspondence, medical results, etc., updates, revises, sorts, calculates and manipulates data in various programs to meet multiple reporting requirements. Convert spreadsheet data into graphs, charts, power point presentations, etc.
Core Duties:
  • Prepares and reviews a wide variety correspondence, reports, minutes, and other documents.
  • Proofreads/edits documents. Ensures procedural and grammatical accuracy, conformance with general policy, and factual correctness. Ensures coordination procedures are followed.
  • Establishes and monitors suspense dates and brings to management’s attention any conflicts in schedule.
  • Receives telephone calls and greets visitors.
  • Maintains calendar, coordinates meeting arrangements, and schedules meetings and/or conferences.
  • Establishes, updates, and maintains office records in accordance with established procedures.
  • At the direction of the government, requests office supplies, printing support, and related materials and or services from other MTF departments.
  • May be responsible for the receipt, control, logging, safekeeping, and necessary action on sensitive materials.
Qualifications:
Experience/Skills/Knowledge
  • Experience using basic software applications, e.g. Microsoft Word and Excel.
  • Shall read, write, speak, and understand the English language fluently and maintain good communication skills.
  • Shall be physically capable of standing and/or sitting for extended periods of time and capable of normal ambulation
  • Prior office administration experience preferred.
Education
  • High School Degree General Educational Development (GED) equivalency
